Since February 2024, Gmail and Yahoo have implemented requirements for email senders to better protect users' inboxes from spam and ensure legitimate emails are delivered. Microsoft announced similar standards in May 2025. With the rest of the industry expected to follow, it is essential for all email senders to comply with these requirements as soon as possible.
| Requirement | Action to take |
|---|---|
| Send from a custom domain | Use a professional email address ending with your own domain instead of a free address (@gmail.com, @yahoo.com, @outlook.com, etc.). |
| Authentifiziere deine Domäne mit DKIM und DMARC | Set up and authenticate your domain on the Domains page in Brevo. |
| Versuche, eine Spam-Beschwerderate von höchstens 0,3 % zu erreichen | Follow our best practices for email deliverability and monitor your spam complaint rate using Gmail's Postmaster Tools. |
| 🤝 Align your sending domain with the domain you authenticated (bulk senders with a dedicated IP) | Make sure your sending domain matches or is a subdomain of the domain you authenticated with DKIM or SPF. |
Was alle Absender:innen tun sollten
The following sections provide an overview of the requirements and the actions all senders need to take:
🌐 Send from a custom domain
Sending from a free email address (@gmail.com, @yahoo.com, @outlook.com, etc.) will cause your emails to be rejected or filtered to spam. Use a professional email address ending with your own domain instead. You can set one up through providers like GoDaddy or OVH.

🔒 Authenticate your domain with DKIM and DMARC
DKIM and DMARC are authentication methods that verify that your emails are genuinely from you, protecting against spam, phishing, and spoofing. They also increase the likelihood of your emails reaching your recipients' inboxes.
➡️ To learn more, check our dedicated article Authenticate your domain with Brevo (Brevo code, DKIM, DMARC).
Expand the following accordions for additional guidance on domain authentication:
- In Brevo, go to the Senders page.
- Next to each sender, make sure the DKIM signature and DMARC policy are marked with a green checkmark ✅.
If either is marked with an orange warning icon ⚠️, your domain has not been authenticated correctly. To learn more, check our dedicated article Troubleshooting issues with domain authentication.
Update your existing DMARC record and add Brevo's rua tag at the end. Your DMARC record should have the following value:
v=DMARC1; p=none; rua=mailto:rua@dmarc.brevo.com
📉 Stay under a 0.3% spam complaint rate
Gmail, Yahoo, and Microsoft monitor how often recipients mark your emails as spam. Keeping your spam complaint rate below 0.3% is required to maintain inbox placement. If your rate exceeds this threshold, your emails are more likely to be filtered, and recovering your reputation can take significant time and effort.

Postmaster Tools is Gmail's monitoring tool for email senders. It lets you track your spam complaint rate, domain reputation, and delivery errors for Gmail recipients. Setting it up is strongly recommended for any sender who regularly sends to Gmail addresses.
Step 1: Add your domain to Postmaster Tools
- Wechsele zu Postmaster Tools.
- Klicke auf Get started (Jetzt anfangen).
- Enter the domain you use to send your emails.
- Copy the TXT record provided by Postmaster Tools.
Step 2: Verify your domain
- Log in to your domain provider account in a new tab. If you are unsure which provider you use, check our dedicated article Identify your domain provider.
- Go to the page where you manage DNS records.
- Create a new TXT record.
- Füge den Wert ein, den du aus Postmaster Tools kopiert hast.
- Save the DNS record.
- Go back to Postmaster Tools and click Verify.
Once verified, you will be able to view your spam complaint rate from Gmail addresses, along with other email performance data. To learn more about how to use Postmaster Tools, check Google's dedicated help center section.
Yahoo and Microsoft also offer their own monitoring tools. Expand the following accordions to learn more.
Use the Yahoo Postmaster portal to access sender metrics and register for the Yahoo Complaint Feedback Loop, which notifies you when Yahoo users mark your emails as spam.
Use Smart Network Data Services (SNDS) to monitor your IP reputation with Outlook and Hotmail recipients.
What bulk senders (more than 5,000 emails per day) with a dedicated IP should do
🤝 Align your sending domain with the domain you authenticated
For DMARC to pass on your emails, the domain you send from must be consistent with the domain you authenticated. If you send more than 5,000 emails per day on a dedicated IP, make sure the domain part of your sending email address matches or is a subdomain of the domain you authenticated with DKIM or SPF.
The following table shows examples of correct and incorrect alignments:
| Authentifizierte Domain | E-Mail Adresse des/der Absender:in | |
|---|---|---|
| Beispiel 1 ✅ | news.mycompany.com | marketing@news.mycompany.com |
| Beispiel 2 ✅ | mycompany.com | marketing@mycompany.com |
| Example 3 ❌ | mycompany.com | marketing@news.mycompany.com |
| Beispiel 4 ❌ | news.mycompany.com | marketing@mycompany.com |
What happens if you do not comply
If you are sending from a free email address or have not authenticated your domain, Brevo temporarily replaces your sender address with a compliant one. This is a stopgap measure to maintain basic deliverability, not a permanent solution. Recipients may not recognize the replaced address and mark your emails as spam, further damaging your sender reputation.
We strongly recommend making the required changes as soon as possible to send with your own domain and protect your deliverability long term.
| Email address | |
|---|---|
| Original | mycompany@gmail.com |
| Replaced (marketing emails) | mycompany@5000001.brevosend.com |
| Replaced (transactional emails) | mycompany@5000001.t-sender-sib.com |
