FAQs - About the data retention policy for email events

Brevo saves an event every time something happens to one of your emails, such as when an email is sent, delivered, opened, or clicked by a contact. From January 1st, 2025, if your account has accumulated more than 10 million email events, any events older than 24 months will be automatically deleted to maintain platform performance.

Does this policy apply to my account?

The policy only triggers when both conditions are met at the same time:

  • Your account has more than 10 million email events, AND
  • Some of those events are older than 24 months

Here are a few examples to illustrate:

Situation What happens
Fewer than 10 million events All data is kept with no time limit
More than 10 million events, but all within 24 months All data is kept
More than 10 million events, with some older than 24 months Events older than 24 months are deleted after a 7-day buffer period

How will I know if my account is affected?

You cannot currently view your exact email event count in Brevo. However, you will be notified both by email and via an in-app banner when:

  • Your account reaches 9 million events as an early warning, so you can take action in advance
  • Your account exceeds 10 million events and has events older than 24 months, with a 7-day notice before any deletion takes place

How can I keep my data for more than 24 months?

If you need to retain your data for longer, you can:

  • Download campaign reports regularly
    Export your campaign reports on a monthly basis to keep a local copy of your data.

    Use the webhook history export endpoint to retrieve and store your events externally.

  • Export transactional logs
    Export your transactional logs on a monthly basis to keep a local copy of your data.

  • Purchase the extended retention option 

    ✅ Plan availability
    The extended retention option is only available on an Enterprise plan. It is charged at 20% of your net spend and billed on your usual billing date. To activate it, contact your Customer Success Manager.

     The extended retention option allows you to keep your events for 10 years instead of 24 months

What about my transactional log retention rules?

You can manage the retention period of your transactional logs to control how long they are stored. However, if your account exceeds 10 million email events, the data retention policy takes precedence, and transactional logs older than 24 months will be deleted even if your custom retention rules are set to a longer period.
