A note is a rich text entry associated with a contact, company, or deal. It is an easy way to provide additional information or to record your interactions with a contact, company, or deal. If you're moving over from another CRM, you can quickly add multiple notes by uploading a comma-separated value (CSV) file.
If you only want to create one note, you can easily add it to a contact, company, or deal. To learn more, check our dedicated article Add a note to a contact, company, or deal's history.
Before you start
- Make sure you've created and associated your contacts, companies, and deals. Notes need to be associated with at least one object.
- Make sure you follow our formatting guidelines to prepare your import file before uploading it into Brevo.
- Export your contacts, companies, or deals to retrieve your Contacts EMAIL (or ID), Deals ID, or Company name (or ID) which should respectively be pasted in the Associated contact, Associated deal, or Associate company column of your import file.
- Note that you can only import one file at a time.
📤 Step 1: Upload your file
To upload the file containing your notes to import:
- Go to Deals.
- Click the expanding arrow next to Create a deal and select Import notes.
- Make sure the Notes card is selected and click Continue.
- Select your import file or drag and drop it within the outlined area.
- Check that the notes and attributes are separated correctly in the preview of the data to be imported. The header row shown in the preview is the same as the one in your import file.
- Click Continue.
🗺️ Step 2: Mapping data
You will now indicate how we should match the data from your import file to your list of notes.
If some data wasn't mapped to the right attribute or at all, you can map it manually:
- In the Notes attribute column, click the drop-down menu next to the data you want to map.
- Select the attribute that you want to map with your data.
If some of the data included in your import file shouldn't be imported, you can cancel its import:
- In the Notes attribute column, click the drop-down menu next to the data you don't want to import.
- Select Do not import.
Once you are done with the mapping of your data, click Continue.
🏁 Step 3: Finalize your import
You can see how many notes will be imported.
Click Confirm your import to begin the import process. Large imports may take a few moments to process fully. Once your import is completed, you will be redirected to your Deals page.
🗒️ View the import report
In the confirmation banner, click View import report to access a report that summarizes the details of your import, including the number of imported or not imported notes, the number of new or updated notes, and the number of associated objects.
If a note was not imported, you can download an error report with information about the notes that couldn't be imported and the reasons.
