Configure a custom retention period for your transactional logs and email previews

Brevo lets you control how long your transactional email logs and email previews are stored. You can set automatic deletion rules and choose whether email previews are saved. 

To access these settings, click the account dropdown and select Settings > Transactional emails > Retention rules.

Before you start

Here are a few important things to know before configuring your retention rules:

  • Transactional logs and email previews are stored indefinitely by default. If you never configure a retention rule, your logs will not be automatically deleted.
  • Log retention changes are retroactive. When you save a new rule, it will apply to both your existing logs and new logs going forward.
  • Preview changes are not retroactive. Changing your preview setting only affects emails sent after you save the change. Existing previews are unaffected.
  • Deletion can take up to 24 hours after a retention period ends.
  • You can store logs for anywhere between 1 and 24 months. A minimum of 1 month is required for Brevo to run spam detection and calculate your sender reputation.
❗ Important
If your account has sent more than 10 million email events, an additional platform-wide policy applies: any events older than 24 months will be automatically deleted, regardless of your custom settings. Affected accounts receive advance notifications (in-app and by email) before any deletion occurs. Step 1: Choose which senders' logs to store

Under Which senders' logs do you want to store?, choose one of the following options:

  • All senders (selected by default)
    The rule applies to every sender in your account. Set how many months logs should be kept before they are automatically deleted.

  • Only selected senders
    Apply different retention durations to specific senders. This is useful if some senders handle more sensitive data than others.

Once the retention period ends, logs are permanently deleted and cannot be recovered.

💡 Good to know
If you need to keep data for longer than 24 months, make sure to export your logs before they are deleted. To learn more, check our dedicated section in the article Manage your transactional logs and email previews.

Step 2: Choose whether to keep email previews

Under Do we need to keep your transactional email previews?, choose one of the following options:

  • Keep the previews for the duration selected above
    Brevo will store the full HTML preview of each sent transactional email for as long as your log retention period. Previews let you view the exact content of any email directly from the transactional logs.

  • Never store previews (selected by default)
    Brevo will not store any email preview content for new emails. Choose this option if your transactional emails contain private or sensitive recipient information (such as personal data, authentication codes, or legal content).

💡 Good to know
Even if you choose to keep the previews, you can still delete individual email previews manually from your transactional logs at any time. To learn more, check our dedicated section in the article Manage your transactional logs and email previews.
