Since February 2024, Gmail and Yahoo have implemented requirements for email senders to better protect users' inboxes from spam and ensure legitimate emails are delivered. Microsoft announced similar standards in May 2025. With the rest of the industry expected to follow, it is essential for all email senders to comply with these requirements as soon as possible.

Sending from a free email address (@gmail.com, @yahoo.com, @outlook.com, etc.) will cause your emails to be rejected or filtered to spam. Use a professional email address ending with your own domain instead. You can set one up through providers like GoDaddy or OVH.

🔒 Authenticate your domain with DKIM and DMARC

If your domain is not authenticated with DMARC, all emails sent to Microsoft recipients (@outlook.com, @hotmail.com, and @live.com) will be marked as spam or rejected.

DKIM and DMARC are authentication methods that verify that your emails are genuinely from you, protecting against spam, phishing, and spoofing. They also increase the likelihood of your emails reaching your recipients' inboxes.

How to verify if my domain is authenticated with DKIM and DMARC
  1. In Brevo, go to the Senders page.
  2. Next to each sender, make sure the DKIM signature and DMARC policy are marked with a green checkmark ✅.

I only need to add a rua tag to my existing DMARC record. How can I do that?

Update your existing DMARC record and add Brevo's rua tag at the end. Your DMARC record should have the following value:

v=DMARC1; p=none; rua=mailto:rua@dmarc.brevo.com

📉 Stay under a 0.3% spam complaint rate

Gmail, Yahoo, and Microsoft monitor how often recipients mark your emails as spam. Keeping your spam complaint rate below 0.3% is required to maintain inbox placement. If your rate exceeds this threshold, your emails are more likely to be filtered, and recovering your reputation can take significant time and effort.

How to monitor my reputation with Gmail

Postmaster Tools is Gmail's monitoring tool for email senders. It lets you track your spam complaint rate, domain reputation, and delivery errors for Gmail recipients. Setting it up is strongly recommended for any sender who regularly sends to Gmail addresses.

Step 1: Add your domain to Postmaster Tools

  1. Ve a Postmaster Tools.
  2. Haz clic en Get Started (Empezar).
  3. Enter the domain you use to send your emails.

Step 2: Verify your domain

  1. Log in to your domain provider account in a new tab. If you are unsure which provider you use, check our dedicated article Identify your domain provider.
  2. Go to the page where you manage DNS records.
  3. Create a new TXT record.

What bulk senders (more than 5,000 emails per day) with a dedicated IP should do

Messages sent from the same primary domain count toward the 5,000 limit. For example, if you send 2,500 emails from mycompany.com and 2,500 from marketing.mycompany.com, you are considered a bulk sender because both subdomains share the same primary domain.

🤝 Align your sending domain with the domain you authenticated

For DMARC to pass on your emails, the domain you send from must be consistent with the domain you authenticated. If you send more than 5,000 emails per day on a dedicated IP, make sure the domain part of your sending email address matches or is a subdomain of the domain you authenticated with DKIM or SPF.

What happens if you do not comply

If you are sending from a free email address or have not authenticated your domain, Brevo temporarily replaces your sender address with a compliant one. This is a stopgap measure to maintain basic deliverability, not a permanent solution. Recipients may not recognize the replaced address and mark your emails as spam, further damaging your sender reputation.

We strongly recommend making the required changes as soon as possible to send with your own domain and protect your deliverability long term.

Do I need to comply even if I do not send to Gmail, Yahoo, or Microsoft recipients?

Given that major mailbox providers have adopted these requirements, the rest of the industry is expected to follow. We recommend that all senders authenticate their domain and follow these practices regardless of their recipient base.

Will Brevo replace my email address even if I do not send to Gmail, Yahoo, or Microsoft recipients?

Yes. Brevo replaces any free email address used for sending, regardless of the recipients.

No action is needed on your side for the following requirements, which Brevo already handles automatically:

  • Valid forward and reverse DNS records (PTR records) for sending domains and IPs.
  • Email formatting compliant with the Internet Message Format standard (RFC 5322).
  • One-click unsubscribe support for the list-unsubscribe header (RFC 8058) and a visible unsubscribe link in the body of marketing and subscribed emails.
  • SPF authentication for dedicated IP users, set up during the dedicated IP configuration process.
