Create an automation after a deal stage is updated

In Brevo, you can easily automate actions after the update of a deal stage, such as the sending of emails. Automating can help you streamline your sales processes, reduce errors, and improve collaboration. It also reduces the need for manual data entry and other repetitive tasks, allowing you to focus on high-value tasks requiring your expertise and judgment. This can be useful, for example, to send an email to contacts who haven't interacted in a while, contacts who have just qualified, or contacts with whom you just closed a deal.

❗️ Important
In Brevo, automations are linked with contacts. In order for this automation to be triggered after a deal stage is updated, your deal has to be associated with at least one contact. If a deal is associated with 2 contacts, the automation will be triggered twice.

Before you start

  • Make sure you have created your pipelines and set up your deal stages. Learn more in our dedicated article Create and manage multiple pipelines.
  • Make sure you have created any contact attribute, list, form, or segment you'd like to use in the automation.

1️⃣ Create your automation

  1. Go to Automations.
  2. Click Create an automation.
  3. Click Custom automation.

2️⃣ Set up your automation

  1. Give a name to your automation.
  2. Optional: Add a description.
  3. Optional: If you want to allow your contacts to enter the automation multiple times and create an automation every time the contact goes through a specific stage, enable the Allow your contacts to enter the automation more than once option.
    ➡️  For example
You could allow a contact to enter your automation more than once so that an email is sent every time they go through the Qualified stage.
  4. Click Create automation.

3️⃣ Add the "Deal stage updated" entry point

  1. Click Add an entry point.
  2. Click An event happens.
  3. Select Custom Event (Track Event).
  4. Select Deal stage updated.
    ❗️ Important
To make Deal stage updated available in the Custom Event (Track Event) dropdown list, you first need to perform the action at least once in Brevo. If Deal stage updated doesn't appear in the list of events, update a deal from one stage to another, then return to the list.
  5. Check the Add conditions to the selected JS event box.
  6. Select Track event data > Stage name > Equal to > Your stage name.
  7. Click OK.

4️⃣ Optional: Add a delay

You can choose to add a delay between the moment the deal stage is updated, and the moment you perform the chosen action.

  1. Click + to add a new step to your automation.
  2. Select the Add a delay condition.
  3. In the first field, enter the delay you want your contact to wait for.
  4. In the drop-down, select the time units you want to use.
  5. Click OK.

5️⃣ Add a step to your automation

  1. Click to add a new step to your automation.
  2. Select a step you would like to perform. In our example, we will select Send an email.
  3. Configure your step, then click OK.

6️⃣ Activate your automation

❗️ Important
We recommend you test your automation before activating it. To test this automation, you can create a deal using your own contact details, and move the deal to the stage you configured.

Once you're done creating the automation, click Activate the automation. Now, any contact who matches the entry point will enter and go through the steps of the automation. The action you chose will be performed automatically when they reach the Deal stage you configured.
