New Admin account - Set up a dedicated IP for your sub-organizations

💡 Good to know
The new Admin account and sub-organizations management are only available to some users on an Enterprise plan. For more information, check our website or get in touch with our Sales team.

If you send a high volume of emails and want greater control over your email-sending reputation, you can set up a dedicated IP for sending emails through Brevo.

Before you start

  • Make sure you are on a new Admin account:

    ent_v2.png

If you are on a classic Admin account, check our dedicated article Classic Admin account - Set up your dedicated IP in Brevo instead.
  • Dedicated IPs are included at no additional cost with an Enterprise plan. Contact your CSM or our Enterprise Customer Experience team to add a dedicated IP to your Brevo account.
    💡 Good to know
Only dedicated IPs purchased from Brevo can be added to your account. Similarly, Brevo dedicated IPs cannot be transferred to other platforms.
  • Ensure you have access to your domain host's account credentials, as you will need to log in during this process.

Step 1: Create a subdomain of your primary domain

To set up your dedicated IP, you need to associate it with a subdomain. This subdomain will be used for signing your emails and doesn’t need to match the subdomain in your sender email addresses. If you don’t have an appropriate subdomain available, you will need to create a new one directly from your domain host account.

Here are some key guidelines to follow when choosing or creating your subdomain:

  • Use a subdomain of your primary domain, not the primary domain itself (e.g., emails.yourdomain.com). If you have several dedicated IPs, use a different subdomain for each IP (e.g., emails.yourdomain.com, emails1.domain.com, emails2.domain.com, etc.).
  • Make it as similar to your primary domain as possible to make sure your brand is recognizable.
  • Dedicate it solely to sending your emails from Brevo and do not use it for other purposes (e.g., website, webmail).

Expand the following accordion to view a more detailed example of how you can setup your subdomain and dedicated IP:

⚙️ Setup example for your subdomain and dedicated IP
Sender Email type Subdomain IP
marketing@emails.yourdomain.com Marketing

emails1.yourdomain.com

transactional@emails.yourdomain.com Transactional

emails2.yourdomain.com

IP 2

❗️ Important
Do not include "brevo" in your subdomain name, as this could lead ISPs to mistakenly think you're impersonating another company.

Step 2: Assign the dedicated IP to your sub-organizations

💡 Good to know
If you only have one sub-organization, the dedicated IP will be automatically assigned to the sub-organization. You can skip to Step 3: Associate the subdomain with your dedicated IP from your sub-organizations directly.

You can now assign your dedicated to your sub-organizations. Note that dedicated IPs are included at no additional cost with an Enterprise plan. Contact your CSM or our Enterprise Customer Experience team to add a dedicated IP to your Brevo account.

Homepage  IPs management page

You can assign multiple dedicated IPs to a single sub-organization from the Homepage.

  1. Log in to your Brevo Admin account.
  2. From the homepage, click the gear icon icon-gears.png next to IPs assigned in a sub-organization.
    IP_setup_new_gear-icon_en-us.png
  3. Select the dedicated IPs that you want to assign to the sub-organization. You can search for a specific one using the search bar.
  4. Click Confirm.

The dedicated IPs appear below the sub-organization.

Step 3: Associate the subdomain with your dedicated IP from your sub-organizations

After assigning your dedicated IP to your sub-organizations, you'll need to associate your subdomain with the dedicated IP by adding specific DNS records in your domain host account. During this process, you'll copy and paste the DNS values from your Brevo account into the corresponding fields in your domain host account.

Add the name of the subdomain to Brevo

First, add the name of the subdomain to Brevo:

  1. From your Admin account, go to IPs management > IPs configuration.
  2. Under the dedicated IP address, click Associate a domain.

  5. Save your DNS record.

Verify if your dedicated IP has been associated with your subdomain

After adding the DNS records to your domain host account, you need to verify if your dedicated IP has been associated with your subdomain.

  1. Go back to Brevo and click Verify and associate at the bottom of the page.
    account_dedicated-IP_verify_en-us.jpg
  2. Once your dedicated IP was successfully associated with your subdomain, a ✅ Value matched message will appear next to each DNS record.account_dedicated_IP_value_matched_en-us.jpg
❗️ Important
It can take up to 48 hours for your dedicated IP to be associated with your subdomain.

Step 5: Associate your dedicated IP with your senders

❗️ Important

You’ll need to repeat this process for each sub-organization where you want to use your dedicated IP.

Next, assign your dedicated IP to your senders. When a dedicated IP is assigned to specific senders, all emails from those senders will be sent from that IP. If multiple IPs are assigned to a sender, you can set the sending rate for each IP.

How to choose my senders?

When choosing your senders, ensure the domain part of each email address (the part after the @, known as the sender domain) is identical or closely related to the subdomain you associated with your dedicated IP in Step 3: Associate the subdomain with your dedicated IP from your sub-organizations. This consistency improves email deliverability and strengthens your domain’s reputation.

For example, if the subdomain you associated with your dedicated IP is emails.yourdomain.com, you could use @emails.yourdomain.com (identical) or @info.yourdomain.com (closely related) as your sender domains.

❗️ Important
Using an unrelated domain can raise red flags with ISPs and negatively impact your email deliverability. While it’s not a total barrier, it’s best to closely align the subdomain associated with your dedicated IP and your sender domains.

Assign your dedicated IP to your senders

To assign your dedicated IP to a sender:

  1. Click your account name and select Senders, Domains, and Dedicated IPs > Senders.
  2. Create a new sender or edit an existing one.
  3. Click Manage the pool of IPs.
    senders_ip-pool_1_en-us.png
  4. Choose the dedicated IP(s) to assign to the sender.
    senders_ip-pool_2_en-us.png
  5. (Optional) If you assign multiple IPs to the sender, you can adjust their sending rate and manage the percentage of emails sent from each IP. To learn more, check our dedicated article Use a pool of dedicated IPs.
  6. Click Save.

Step 6: Authenticate your sender domain

💡 Good to know

If your sender domain is identical to the subdomain associated to your dedicated IP, you can skip to Step 7: Warm up your dedicated IP, as the subdomain is automatically authenticated when associated with a dedicated IP.

Now, you need to authenticate the sender domain that you used in Step 5: Associate your dedicated IP with your senders. Authentication allows you to verify that the email addresses you’ll use for sending emails to Brevo are authorized to send emails on behalf of your organization. This process makes your emails appear more reliable to Internet Service Providers (ISPs) and webmail services like Gmail and Yahoo, improving the likelihood of your emails reaching the inbox.

Step 7: Warm up your dedicated IP

Contact your Customer Success Manager (CSM) or our Enterprise Customer Experience team for guidance on warming up your dedicated IP. They will collaborate with our Deliverability experts to create a customized sending plan.

FAQs

🌐 Can I associate my dedicated IP directly to a domain instead of a subdomain?

You should never associate your dedicated IP with your primary domain. Doing so could potentially disrupt your website, especially if it is hosted on your primary domain.

Additionally, we strongly advise against associating your dedicated IP with a cousin domain of your primary domain. For example, a cousin domain of the primary domain thegreenyoga.com would be news-thegreenyoga.com. Associating a dedicated IP to a cousin domain is a bad practice and is generally frowned upon in the mailing industry.

When emails are sent from a dedicated IP associated with a cousin domain, recipients may struggle to identify the familiar domain of the website they typically visit. This can raise concerns about phishing attempts, as users may question the legitimacy of the emails. Additionally, anti-spam filters tend to regard emails from cousin domains unfavorably, increasing the likelihood of these messages being flagged as spam or suspicious.

For optimal deliverability and to maintain a positive sender reputation, we strongly recommend you always associate your dedicated IP with a subdomain of your primary domain. This subdomain should only be dedicated to sending your emails from Brevo and should be as similar to your primary domain as possible. For example, if your website is thegreenyoga.com, you could choose news.thegreenyoga.com or marketing.thegreenyoga.com as your new subdomain. This ensures that your emails are recognized, trusted, and less likely to be flagged as suspicious or unwanted.

🔑 Can I use a 2048-bit DKIM key?

The default DKIM key generated when adding your domain is a standard 1024-bit DKIM key. If you want to use a 2048-bit DKIM key to enhance your email security, ask our support team to activate it for your account. Your 2048-bit DKIM key will then appear in your generated DNS records for email authentication with a value starting with sib2k.

sib2k_2048bit.jpg

❗️ Important

If you previously used the 1024-bit DKIM key, update the DKIM record in your domain host with the new value.

🧐 I already have an SPF record on my subdomain. How can I add Brevo's SPF record?

There can only be one SPF record on a given domain or subdomain. If there is already an SPF record, you'll need to combine the value of that existing record with the Brevo value.

To learn more, check our dedicated article Merge multiple SPF records.

⏳ My subdomain still hasn't been associated with my dedicated IP after 48 hours. What should I do?

If your subdomain still hasn't been associated with your dedicated IP after 48 hours, contact our support team and include a screenshot of the DNS records you have added to your domain host.

For domain host-specific requirements, we recommend you reach out to your domain host support.
