Save time and stay consistent by sharing your email templates with other sub-organizations directly from the Brevo platform—no need to duplicate or send links manually. With just a few clicks, you can replicate a template across selected sub-organizations and send updates whenever needed. Each update can be accepted with one click, keeping your templates aligned and up to date—without the manual effort.
Good to know
- Shared templates and updates have to be manually accepted by the recipient sub-organizations to take effect.
- Any changes made to the template design, name, or subject line are considered as updates and have to be shared again to sync with recipient sub-organizations.
- The Admin account cannot create, edit, or share templates directly. It has to access a sub-organization to perform these actions. Any sub-organization can share templates with, or receive templates from, other sub-organizations.
- Any edits made to a received email template in a recipient sub-organization apply only to that sub-organization. If the source sub-organization later shares an update, you'll be asked to accept it. Accepting the update will overwrite your version. To keep your custom changes, you can duplicate the template before accepting the update.

Only some elements of your email template will be shared:

- Subject line

Elements not shared need to be updated once you receive the email template on your sub-organization account.
📤 Share an email template or update
After creating or updating an email template, you can directly share it with other sub-organization to maintain consistency across all organizations:
- Go to Marketing > Templates > Email.

Search for the email template you want to share and next to its name,
click
the three-dot icon
> Share.
- From the Share this template modal, search and select the groups or sub-organizations to which you want to share your email template. If you already shared the updated version with a sub-organization, their name will be greyed out with an Already updated tag.

Click Share template.
Your recipient sub-organizations will receive a notification by email and on their templates page to accept the email template and the updates.
📥 Receive an email template or its update
Any edits made to a received email template in a recipient sub-organization apply only to that sub-organization. If the source sub-organization later shares an update, you'll be asked to accept it. Accepting the update will overwrite your version. To keep your custom changes, you will be able to duplicate the template before accepting the update.
Other sub-organizations can share with you email templates or their updated version at any time. For each template or update shared, you will receive a notification by email and on your Brevo sub-organization account.
Each time a sub-organization shares with you one or several email templates, you are notified via email and through a banner at the top of your Marketing > Templates > Email page:

Click View updates in the banner, or the update
icon
next to the concerned email template name. The Review update for modal opens.
- Review your current version and the updated version to understand the changes applied.

Decide what you want to do with the update. You can either:

Update and create a detached local version
Your current version will be duplicated and the updates shared will be applied to the original email template shared. -
Update and overwrite
Your current version will be replaced by the updated version received.

❓ What should I do after receiving an email template or update?
To use the shared email template or updates in your different communications, access the email template and update the following parameters as they are specific to each sub-organization:
- Sender name and email address
- Reply-to email address
- Additional settings
- Attachment
- Contact attributes used in subject line, preview text, and in the design.
Any updates will only reflect in your sub-organization account.
