Manage, reuse, and share your automation messages

Email templates for the classic editor are available on the Templates page.

When creating an email in the new editor, it appears on the Messages page. From there, you can:

What are automation messages?

In the new editor, all emails you create are called automation messages. They are stored on the Messages page and work differently from emails created in the classic editor.

In the classic editor, you select an email template from the Templates page. If you edit that template, every automation step that uses it updates automatically.

In the new editor, you can choose how you want to reuse email content:

  • Create a new message
    Build it from scratch or start from an existing template.
  • Select an existing message
    Reuse a message that is already used in another automation. All steps that use this message stay synced. Any change you make updates all linked steps.

This gives you control over how updates made to your email design or settings are reflected in other steps. You can create a message that stays independent, or you can reuse an existing message that stays synced across all automation steps that use it.

View and edit an automation message

To view or edit an automation message:

  1. Go to Automations > Messages.
  2. (Optional) Use filters, sorting, or the search bar to find the message you want.
  3. Click the message to open the automation step it is used in. If the message is used in multiple automations, it opens in the last automation where it was used or edited.

  4. From the automation step, edit the message content and settings. If the message is used in multiple automations, your changes are synced across all steps that use it.
    ❗️ Important
    If you’ve added or modified personalization variables in the message content for emails or SMS messages, make sure to select the correct option under What event data to display? in the automation step. Otherwise, personalization may not work as expected.

  5. Save the automation step.

Your changes are saved and synced across all steps that use the message.

Reuse an existing message in multiple steps

When sending an email from an automation, you can select an existing message to keep your email steps consistent. Reusing a message ensures that its design and settings remain synced across all steps that use it.

Share an automation message

❗️ Important
You can only share automation messages with other users of your Brevo account. Messages cannot be shared with other accounts or between sub-organizations.

You can share an automation message with other users in your Brevo account so they can quickly access and edit it.

To share an automation message:

  1. Go to Automations > Messages.
  2. (Optional) Use filters, sorting options, or the search bar to find the message you want to preview.
  3. Next to the message you want to share, click the Copy link icon 🔗.

  4. Click Copy link.

  5. Share the link with other users of your Brevo account. They must be logged in to the same account to access the message.
  6. Once a user clicks the link, they'll be redirected to the automation step from which the message is sent. They can then edit its content and settings, if needed.
