Add and manage users on your Brevo account

Whether you are an agency juggling multiple clients, a large company, or a business owner needing separate access for developers, you can easily invite additional users to help manage your Brevo account. You decide what each user can access by assigning permissions that align with their specific responsibilities.

Good to know

  • To learn more about the permissions available for your users, check our dedicated article User permissions in Brevo.
  • Only Brevo account owners or users with User management permission can add users and customize their permissions.

How many users can I add and how much does it cost?

The number of users you can invite to your Brevo account, the permissions you can give them, and their associated costs depend on your subscription plan. For example, inviting another user with permission to create or edit an email template is only available with a Marketing Platform - Business or Enterprise plan, not with a Starter plan.

❗️ Important
You cannot select only General or Transactional permissions. You need to choose at least one additional permission from the Marketing platform, Conversations, Sales platform, or Phone plans. This means that the final set of permissions given to the user may include an additional cost.

  • Pro: up to 10 users with an additional cost of $12 per month per user
❗️ Important
If you upgrade at least one user to a Pro plan, you need to upgrade all users that require access to deal and task management features or they'll lose access.
Phone Sales Platform
  • Free: 1 user (owner)
  • Pro: up to 10 users with an additional cost of $19 per month per user

Overview of the Users page

The Users page allows you to see who has been invited to access your Brevo account and manage their permissions:

  1. Identify your users by their Email address.
  2. Check the Status of your users:
    Active The user has access to the account. 
    Pending You have invited the user to join the account, but they haven't accepted or rejected the invitation yet. 
    Rejected You have invited the user to join the account, but they have rejected the invitation or have taken more than 72 hours to accept it.
  3. View which User role has been assigned to your users. If no user role has been assigned, the mention NA will be displayed.
    💡 Good to know
    User roles are only available on an Enterprise plan. For more information, check our website or get in touch with our Sales team.
  4. Check which permissions have been given to the users for each plan:
    Owner The user is the owner of the account. They have access to all the features of the plan. 
    Full permissions The user has access to all the features of the plan, except for managing the company profile.
    Custom permissions

    The account owner has chosen which permissions are given to the user. The user has access to only certain features of the plan. 

    No permission The user doesn't have access to any feature of the plan.  
  5. Click Add a user to invite a new user to your account.

Add users to your Brevo account

To invite users to your account:

  1. Click the account dropdown and select Users.
  2. Click Add a user.

  3. Enter the email addresses of the users you want to invite, separated by commas.
    💡 Good to know
    When inviting multiple users at once, they will all receive the same role and permissions within your organization. To assign different roles and permissions, invite users individually.
  4. Click Continue.
  5. Choose which permissions to give to your users:
    ❗️ Important
    The final set of permissions given to the user may include an additional cost. To learn more, check our dedicated section How many users can I add and how much does it cost?.
    Full permissions

    User role
    💡 Good to know
    User roles are only available on an Enterprise plan. For more information, check our website or get in touch with our Sales team.

    The users are being assigned an existing user role with a predefined set of permissions.

    Custom permissions

    The users are given custom permissions from the full list of permissions.

  6. Click Continue
  7. Review the summary on the checkout page and send the invitation. 
    💡 Good to know
    In case of additional costs, we will provide you with information about the next billing for this user and the immediate pro-rate billing between the day you invite the users and the end of your current billing cycle.

The users will each receive an invitation by email.

Edit the permissions of a user

If you want to add or remove permissions from an existing user, you can edit them:

  1. Click the account dropdown and select Users.
  2. Click the email address of the user you want to edit.
  3. Edit the user's permissions. To learn more about the available permissions, check our dedicated article User permissions in Brevo.
    ❗️ Important
    The final set of permissions given to the user may include an additional cost. To learn more, check our dedicated section How many users can I add and how much does it cost?.
  4. Click Save the changes.
  5. Review the summary on the checkout page and confirm the new permissions.
    💡 Good to know
    In case of additional costs, we will provide you with information about the next billing and the immediate pro-rate billing between the day you edit the permissions and the end of your current billing cycle.

Cancel or resend an invitation

Cancel an invitation

You can cancel an invitation sent to a user before they accept it:

  1. Click the account dropdown and select Users.
  2. Select the user's invitation you want to cancel.
  3. Click Cancel the invitation.

  4. You can see the monthly cost reduction and the pro-rated refund calculated from today, which will be applied on your next billing date. Click Yes, cancel to confirm.

You have canceled the invitation. The user won't be able to accept the invitation and won't have access to your Brevo account. 

Resend an invitation

In case a user cannot find the invitation you have sent them, takes more than 72 hours to accept it, or for any other reasons, you can resend it in a few clicks:

  1. Click the account dropdown and select Users.
  2. Select the user's invitation you want to resend.
  3. Click Resend invitation.

You have resent the invitation to the user.

Remove a user from your account

Revoke access (active user)

💡 Good to know
Revoking an active user's access will completely remove them from your Brevo account. After being revoked, the user is automatically deleted from the Users page.

If you want to remove all permissions from an active user, you can revoke their access:

  1. Click the account dropdown > Users.
  2. Select the active user whose access you want to revoke.
  3. Click Revoke access.

  4. You can see the monthly cost reduction and the pro-rated refund calculated from today which will be applied on your next billing date. Click Yes, revoke access.

You have revoked the user's access, and they won't have access to your Brevo account anymore. 

Delete a user (rejected user)

If a user rejects your invitation, you can delete them from the Users page so that they don't appear anymore:

  1. Click the account dropdown > Users.
  2. Select which rejected user you would like to delete. 
  3. Click Delete the user.

  4. You can see the monthly cost reduction and the pro-rated refund calculated from today which will be applied on your next billing date. Click Yes, delete.

You have deleted the user, and they won't have access to your Brevo account.
