Assign an owner to a contact

In this article, you will learn how to manually or automatically assign an owner to a contact, and how to remove an assignment. An owner is a user from your organization that has been added to Brevo.

Manually assign an owner to a new contact

To manually assign an owner to a new contact:

  1. Go to Contacts.
  2. Click Create a contact.
  3. In the CONTACT OWNER field, select a user from your organization.

  4. Once you're done, click Create.

Your new contact has been created and assigned an owner.

Manually assign an owner to an existing contact

To manually assign an owner to an existing contact:

  1. Go to Contacts.
  2. Select one or several contacts to which you want to assign an owner:
    1. To select multiple individual contacts, select the checkboxes next to the contacts.
    2. To select all of the contacts on your current page, select the checkbox at the top left of the table.
    3. To select all of the contacts on your current list or database, select the checkbox at the top left of the table and click Select all the # contacts.
  3. Click More actions and select Assign.

  4. Select a user from your organization in the list and click Assign.

Your existing contact has been assigned an owner.

Automatically assign an owner to a contact

The contact assignment step in Automation automates the process of assigning contacts as they are added to Brevo. You can assign contacts depending on a certain number of attributes, such as company size, territory, product interest, lead score, and more.

To do so, you need to add the Assign a user to the contact step when building your Automation workflow.

To automatically assign an owner to a contact:

  1. Go to Automation.
  2. Click Create a workflow.
  3. Select a pre-defined workflow or create a custom workflow.
  4. If you have created a custom workflow, add an entry point.
  5. Add a contact assignment step to your workflow:

Assignment to a specific owner

To automatically assign a contact to a specific user:

  1. In your workflow, click on +.
  2. Click on Perform a CRM action.
  3. Choose Assign a user to the contact.

  4. Select Assign a single user.
  5. Select a user from your organization.

  6. Click on OK.

A specific owner will now be assigned to contacts who went through this step of your workflow.

Assignment to an owner using a rotation

💡 Good to know
This feature is available for Business and BrevoPlus plans.

To automatically assign a contact to a user using a rotation:

  1. In your workflow, click on +.
  2. Click on Perform a CRM action.
  3. Choose Assign a user to the contact.

  4. Select Assign using a rotation between selected users.
  5. Select a set of users from your organization.2022-02-15_09-46-30.png
  6. Click on OK.

An owner will now be assigned in rotation to contacts who went through this step of your workflow.

Remove an assignment

To remove the assignment of an owner:

  1. Go to Contacts.
  2. Select one or several contacts to which you want to unassign their owner:
    1. To select multiple individual contacts, select the checkboxes next to the contacts.
    2. To select all of the contacts on your current page, select the checkbox at the top left of the table.
    3. To select all of the contacts on your current list or database, select the checkbox at the top left of the table and click Select all the # contacts.

  3. Click More actions and select Assign.

    💡 Good to know

  4. Select No owner from the list and click Assign.

You've now removed the owner that was previously assigned to the contact.
