Associate your companies, deals, and contacts

Once your Companies, Deals, and Contacts are imported into Brevo, we recommend you associate them to stay organized and better keep track of your opportunities. If you're in touch with multiple companies, you can associate all corresponding contacts and deals with these companies.

Associations are always two-way. For example, if you associate companies with contacts, the contacts will also be associated with the companies.

What is bulk association?

You can manually associate objects (Companies, Deals, and Contacts) when creating them. However, this can take time if you have many objects to associate. With our bulk association feature, you can associate multiple objects simultaneously, through a simple import. This option is faster than associating objects manually.

Before you start 

  • Make sure you already have imported or created the Companies, Deals, and Contacts that you want to associate in your Brevo account.
  • In this article, we take the example of associating 3 objects: Companies with Deals and Contacts.
  • To associate only two objects (for example only Companies with Contacts), follow the same steps as in the procedure but
    ➡️ in Step 1 - export only the data that you want to associate,
    ➡️ in Step 2 - add only 1 associated column.

🖇 Bulk associate Companies, Deals, and Contacts 

In this procedure, to associate your Companies, Deals, and Contacts, you will need to import a file in which you will use the ID of the objects (Company, Deal, Contact) to match them up. This procedure is not technical but you need to closely follow the steps below.

We have explained the procedure in 3 steps:

📤 Step 1: Export your Companies, Deals, and Contacts

To associate Companies, Deals, and Contacts, you need to use their ID to match them up. IDs are unique identification numbers that are automatically generated by Brevo. To collect these IDs, you need to export (from Brevo) the Companies, Deals, and Contacts that you want to associate.

In our example, to associate Companies, Deals, and Contacts, you need 3 exports:

  • The Companies export that you will reimport in Brevo at the end of the procedure with two new columns Associated Deal and Associated Contact. This export will allow you to associate deals and contacts with your companies.
  • The Deals export to retrieve your Deals ID and add them to the Associated Deal column in the Companies export.
  • The Contacts export to retrieve your Contacts EMAIL (or ID) and add them to the Associated Contact column the Companies export.
  1. Export the Companies, Deals, and Contacts that you want to associate. To learn how to export objects, check our dedicated articles Export your companies, Export your deals, and Export your contacts from Brevo.
    For each export, the following attributes will be needed:
    • Company ID or Name for the Companies export (selected by default).
    • Deal ID and Deal name for the Deals export (selected by default).
    • EMAIL (selected by default) or CONTACT ID for the Contacts export. We also recommend you select the LASTNAME and FIRSTNAME attributes. It will help to quickly identify your contacts.
  2. You have exported the 3 files for Companies, Deals, and Contacts. You can identify their IDs in each export, like in the example below. These IDs will help you associate each object in the next steps.

📝 Step 2: Associate your Companies with your Deals and Contacts in the company export

Now that you have exported your Companies, Deals, and Contacts, you need to associate them together by matching the corresponding Deal ID and Contact EMAIL (or ID) for each Company. You'll create 2 new columns called Associated Deal and Associated Contact to do so:

  1. Open your CompaniesDeals, and Contacts exports. 
  2. In your Companies export, create 2 new columns called Associated Deal and Associated Contact
    ❗️ Important
    The name of the column must be exactly Associated Deal or Associated Contact, written in English for it to work. If you write it incorrectly (for example, Associated Deals, Associate Company, etc), the association won't be detected.
  3. Optional: Add additional columns to indicate the name of your Deals and Contacts next to the Associated Deal and Associated Contact columns. This will help to better identify them. mceclip9.png
  4. Associate the Deals like this:
    1. In your Deals export, copy the Deal ID.
    2. In your Companies export, paste the Deal ID In the corresponding Associated Deal column.

  5. Associate the Contacts like this:
    1. In your Contacts export, copy the EMAIL (or CONTACT ID).
    2. In your Companies export, paste the EMAIL (or CONTACT ID) in the corresponding Associated Contact column.

  6. Each Company, Deal, and Contact that are on the same line will be associated together.

  7. To associate a single Company with multiple Deals or Contacts, duplicate the company line. For each line, add the Associated Deal (Deal ID) and Associated Contact (EMAIL or CONTACT ID) as seen in steps 3, 4, and 5 above.
    In this example, we are associating Company 1 with 3 different Contacts, so we created 3 lines:

Your Companies export file now contains the Deals ID and Contacts EMAIL (or ID) that you want to associate with each company. You can now import it into Brevo.

📥 Step 3: Import your file to Brevo

The last step is to import your Company export file, which contains your associated Deals and Contacts, to finalize the association. 

❗️ Important
We based this example on the Companies export. If you used the Deals export to associate objects, you need to import it from Deals. For now, you cannot use the Contacts export to associate objects.
  1. From Brevo, go to Contacts > Companies.  
  2. Click Import companies.
  3. Upload the Companies file in which you added the Associated Deal and Associated Contact columns. 
  4. Click Confirm your file.
  5. Under the Company attribute column, select in the drop-down list the company data fields that you want to map to Brevo company attributes. To ignore an attribute, choose Do not import from the drop-down list. You can map as many attributes as you need, only the Company ID, Associated Deal, and Associated Contact attributes are mandatory and cannot be changed.

    ❗️ Important
    When the association is not automatically detected, you won't see "Associated XX" under the Company attribute column. It means that you need to check the name of the column in your file. The name of the column must be exactly Associated Deal or Associated Contact for it to work.
  6. Click Confirm
  7. To finalize your import, configure the import settings. 

    1. Keep Import empty fields to erase existing attribute data untoggled.
      In this specific procedure, we advise you to leave this option unselected to make sure you don't overwrite any data accidentally.
    2. Select Associate companies to the corresponding objects to associate your Companies with Deals and Contacts. 
      The Dissociate companies from the corresponding objects option is useful if you've already bulk-associated objects, made a mistake, and want to disassociate them.
  8. Click Confirm your import.

Your Companies, Deals, and Contacts are now associated! You can access your import report from the Notification Center. This report displays a summary of your import and key data such as which objects are imported, not correctly imported, why, and more.

As a result, your Companies, Deals, and Contacts are now associated:

  1. In Step 1 - Export Companies and Contacts.
  2. In Step 2 - Create a new column called Associated Contact in your Companies export.
  3. In Step 2 - Paste the EMAIL or CONTACT ID in the Associated Contact column.
  4. In Step 3 - Import the updated Companies export in Contacts > Companies > Import companies.
Associate Companies and Deals
  1. In Step 1 - Export Companies and Deals.
  2. In Step 2 - Create a new column called Associated Deal in your Companies export.

  4. In Step 3 - Import the updated Companies export in Contacts > Companies > Import Companies.
Associate Deals and Contacts
  1. In Step 1 - Export Deals and Contacts.
  2. In Step 2 - Create a new column called Associated Contact in your Deals export.
  3. In Step 2 - Paste the EMAIL or CONTACT ID in the Associated Contact column.
  4. In Step 3 - Import the updated Deals export in Deals > Import Deals.

❓ FAQs

Can I associate one single Company or Deal with several Contacts?

Yes, you can. As explained in Step 2 > 6, you need to duplicate the line and associate an object in each line:

  1. From your export file (step 2), add the same Company ID on three different lines.

  2. Under the Associated contact column, add each Contact ID (or EMAIL) or Deal ID that you want to associate with the company.
  3. Import your file to Deals

Your single object is now associated with multiple objects.

I made a mistake during my bulk association, how can I fix it?

To fix a mistake you made during your bulk association, you can dissociate your objects with the same import, edit your file, and re-import it. 

  1. Re-import the same file.
  2. During the Finalize your import step, select Dissociate companies from the corresponding objects to disassociate your objects. 
  3. Click Confirm your import.

Your objects are now dissociated. You can now follow the procedure again with the correct data and associate your objects together again.

What are the benefits of associating objects?

Associating objects provides easy access to all relevant information from an object's details page. For example, if a deal is associated with a contact, the contact's details page can be quickly accessed from the deal's page. Additionally, the history and activities of your objects are synced when they are associated. For example, if a note is added to a company and that company is associated with a deal, the note will also appear in the deal's history.
